Information We Collect

Account Information
- Email address (used for account creation and authentication)
- Name (optional, for personalization)
- Password (encrypted and stored securely)
Appraisal File Data
- Property addresses (street address, city, zip code)
- Client names and AMC (Appraisal Management Company) names
- Point of Contact (POC) information: names, phone numbers, and email addresses
- Inspection dates, time windows, and due dates
- Report types, loan types, and loan purposes
- File numbers and status information
- Notes and comments you add to files
Financial Data
- Appraisal fees
- Accounts receivable information (amounts, payment status, dates)
Location Data
- Home and office addresses (for route planning features)
- Inspection property addresses (for route optimization and mapping)

Push Notification Tokens
- Device-specific push notification tokens (if you enable notifications)

How We Collect Your Information
We collect information in the following ways:
- Directly from you: When you create an account, add appraisal files, enter POC information, or configure settings
- Automatically: When you use route planning features, we collect location data (addresses) to calculate optimal routes via Google Maps API
- With your consent: Push notification tokens are collected only after you grant notification permissions
How We Use Your Information
We use the information we collect for the following purposes:
- Provide core services: Manage appraisal files, track accounts receivable, and organize your workflow
- Route planning: Calculate optimal driving routes for your daily inspections using property addresses, city, and zip code data
- Send notifications: Deliver due-date reminders and time-sensitive alerts (only if you enable push notifications)
- SMS communication: Send initial inspection requests to POCs via Twilio (using POC phone numbers you provide)
- Administrative support: Allow authorized administrators to view user emails for support and troubleshooting
- Improve our app: Analyze usage patterns to enhance features and user experience
- Security: Protect against fraudulent or illegal activity
How We Share Your Information
We share your information with third parties only in the following limited circumstances:
Service Providers
- Google Maps API: Property addresses (including city and zip code) are sent to Google Maps to calculate route distances, durations, and optimal stop order for your daily inspections
- Twilio: POC phone numbers and SMS message content are sent to Twilio to deliver text messages on your behalf
- Push notification services: Push tokens are shared with Expo's notification service to deliver alerts to your device
Legal Requirements
We may disclose your information if required by law, court order, or government regulation.
What We Do NOT Do
- We do not sell your personal data to third parties, data brokers, or advertisers
- We do not use your data for promotional marketing or advertising purposes
- We do not track your activity across other apps or websites
Push Notifications and Tokens
If you enable push notifications in our app, we collect and store a unique push notification token associated with your device. This token is used solely for the following purposes:
- Sending you reminders about upcoming appraisal due dates
- Notifying you about important updates to your appraisal files
- Alerting you to time-sensitive tasks in your workflow
Important: We only send functional notifications related to your appraisal management tasks. We do not use push notifications for promotional messages, advertising, or direct marketing purposes.
Data Sharing: Your push notification token is shared only with Expo's push notification service to deliver notifications. It is not shared with data brokers or used to track your activity across other apps or websites. The token is stored securely on our servers and is only used to deliver notifications within our app.
You can disable push notifications at any time through your device settings or within the app's settings page. Disabling notifications will stop all future notifications, and your push token will no longer be used.
Location Data and Route Planning
Our app uses location data (property addresses, city, and zip code) to help you plan optimal daily routes for appraisal inspections. Here's how it works:
- What we collect: Home address, office address, and inspection property addresses (including city and zip code)
- How we use it: We send these addresses to Google Maps API to calculate route distances, travel times, and optimal stop order
- Your control: You can choose whether to set a start/end location (home, office, custom, or none) for each day's route
- Data retention: Route plans are saved locally on your device and on our servers to preserve your preferences across sessions
Important: We do not track your real-time location or GPS coordinates. We only use the addresses you manually enter for route calculation purposes.
Data Security
We implement appropriate technical and organizational security measures to protect your personal data, including encryption of passwords and secure transmission of data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Your Rights
You have the right to:
- Access your personal data: Request a copy of the data we hold about you
- Correct inaccurate data: Update or correct any information in your account
- Request deletion of your data: Delete your account and all associated data (see "Data Deletion" below)
- Export your data: Download your appraisal files and accounts receivable as CSV files
- Revoke consent: Disable push notifications or stop using route planning features at any time
Data Retention and Deletion
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this privacy policy, unless a longer retention period is required by law.
How to Delete Your Data
You can request deletion of your account and all associated data at any time:
- In the app: Go to Settings → Account → Delete Account
- By email: Contact us at support@opappraisalmanager.com with your account email
When you delete your account, we will permanently remove:
- Your account information (email, name, password)
- All appraisal files, notes, and associated data
- Accounts receivable records
- Push notification tokens
- Route planning preferences and mileage logs
- SMS message history
Important: Account deletion is permanent and cannot be undone. We recommend exporting your data before deleting your account.
Third-Party Services
We use the following third-party services to help us operate our application:
- Google Maps API: For route calculation and mapping (see their Privacy Policy)
- Twilio: For SMS messaging (see their Privacy Policy)
- Expo Push Notifications: For delivering push notifications (see their Privacy Policy)
These services have access to your personal data only to perform specific tasks on our behalf and are obligated not to disclose or use it for other purposes.
Changes to This Policy
We may update this privacy policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Significant changes will be communicated via email or in-app notification.
